CRM - Managing Group and People Types

Learn about default group and people types, and how to make custom ones.

The CRM in Lennd structures contacts into Groups and People. A group is a team or collection of people that participate in your event. A person is an individual who is participating in your event, who is generally affiliated with one or more groups.

Types allow you to manage similar groups and people together. By using Group Types, you can quickly assign one form to all groups within that type, set up a portal that shows files, forms, and tasks for each group in that type, and easily report on all groups within a type by applying filters or running reports. Similarly, People Types can mirror group types and allow you to quickly view and report on requests for all people of the same type.

Default Group and People Types

Lennd has preset types that can be added to your CRM from the Details section. You are welcome to use those or create custom types.

NOTE: You can change the name of default types, but subsequent changes to your "Details" page may revert these changes. Please contact us if you are experiencing issues locating your updated types.

Below are the default types that you can add to your event.

Group Type

Description

Attendees

People

Attendees are individuals who are attending an event. This type is often used for virtual events to segment ticketholders from internal teams.

Exhibitors

Either (usually Group)

Exhibitors showcase their services and products at trade shows and conferences. Event organizers are responsible for reviewing applications, advancing logistics, collecting payment, and providing onsite experiences for exhibitor groups.

Speakers

Either (usually People)

Speakers host sessions or presentations in a conference or meeting context.

Volunteers

Either

Volunteers donate their time and efforts to producing events. Common volunteer teams include Green Team, Info/Wayfinding Team, etc.

Talent

Either

Talent refers to the acts that are booked to perform at an event.

Vendors

Either (usually Groups)

Vendors are third-parties who are permitted to offer goods and services at an event. E.g. Popcorn Cart, BBQ Shack, Ice Cream Tent.

Departments

Groups

Departments are internal teams who assist with producing an event. E.g. Logistics, Artist Relations.

Media

Either

Media are authorized to attend an event and report on it. Typically media are grouped by their outlet affiliation, but can include freelancers.

Create Custom Group Types

  1. Sign into Lennd and access an organization or event.

  2. Click "CRM" from the left-hand navigation panel.

  3. Click "View All Groups" and then "Settings" in the center panel.

  4. Click "Groups" in the center panel menu and then "Add Type"

Create a name for your group type and click Save.

Pro Tip: Creating a "Default" group and setting it as your default option can help with managing contacts when you're not sure what the group breakdown will ultimately look like. This way, you can import contacts into the system as this type, and then review and assign them into more specific types later on.

Create Custom People Types

  1. Sign into Lennd and access an organization or event.

  2. Click "CRM" from the left-hand navigation panel.

  3. Click "View All People" and then "Settings" in the center panel.

  4. Click "People" in the center panel menu and then "Add Type"

Options - Contact Types

Each group and people type has configuration options:

Record Layout - set up what fields will display when viewing the contact (group/person) profile record

Add Record Layout - set up what fields will display when adding a new contact record

Portal - configure portal settings for groups

Guest List - configure guest list settings groups

Record Layout

Generally, you will want to see basic contact fields such as first name, last name, email, phone in your record layout. However, you can add any default or custom fields to display for any group type.

Profile Fields are the fields that will display when you view a contact profile. In this example, we've set fields for Artist groups by starring them in the right-hand column.

You can also designate fields that will appear when clicking "View all Properties" on a contact record. Select the eye icon beside the field to show in this layout.

Add Record Layout

Select or deselect fields that you want to appear when adding a contact in the CRM. You can reorder these fields here as well.
