How to create a schedule with activities, add or customize fields or views, export data, and subscribe to feeds

Creating schedules

To get started, create your first schedule and manage fields before adding activities.

Note: Lennd has a master schedule created by default. This schedule will "roll up" or combine activities from all the schedules you create.

Login into Lennd and open your event.

  1. Select Schedules from the left-hand navigation bar.

  2. Click on Master schedule from the dropdown menu.

  3. Click Create Schedule on the landing page.

  4. Name your schedule and finish.

    1. Optional: set a color/icon for your schedule. Using colors to differentiate schedules can be useful when viewing all events in the Master schedule.

Manage schedule fields

Schedule fields are where the data associated with your schedules will live. Typically, these would be similar to column headers in a spreadsheet.

There are two types of fields: master fields and schedule fields. Master fields can be added to any schedule you create. Schedule fields can be used if you want to collect specific information for just one schedule.

When you create a new schedule, the following default fields will be added:

  • Status

    • Checkbox

  • Activity

    • This is where you'll name the activity when adding it to the schedule

  • Starts at and Ends At

    • Pick a date and time to define activities on the schedule. Timezone is based on your event settings.

  • Assigned To

    • Choose one or more users who are responsible for the activity.

  • Notes

    • Enter long-form paragraph text if needed about the activity.

You can remove any fields except Activity (name). Additionally, you can add more default fields or create custom fields to collect the information you need in the format that's most efficient for reporting purposes.

To edit fields, add them to a schedule and click on the field name. In the sub-menu, click "Edit Column". An Edit Field window will pop up with the field settings.

Add activities

Activities are the events, tasks, or actions on your calendar that you want to track. Once you're configured the fields you want to associate with activities, and added them to your view, you can enter activities by clicking the "Add Activity" button and entering the activity data in the pop-up window.

You can also link activities to a submitting group or person in this workflow. Once an activity is linked, it will appear in the person or group record, and display on their portal.

In the below example, the group Sally's Sandwiches is linked to the activity for Sally Sanders.

In the group portal for Sally's Sandwiches, the activity is visible when clicking the "Schedule" tab beside Tasks.

Note: currently it is not possible to bulk import activities into schedules.

Export activities

Activities can be exported into .csv or .xls format by clicking "Options" and selecting the export format in the dropdown menu.

Customize schedule views

Schedules can be viewed in list, month, week, or resource format. You can save your preferred view by clicking "Save" at the top of the page.

You can also create multiple views of the same schedule. This is especially useful when filtering, sorting, or grouping activities in the list view.

To save changes as a new view, click the three-dot button beside Save to access save options. This will save a copy of the view. You can rename it by clicking "Rename."

Changing views is done by clicking the name of the current view you are on. This opens a menu that displays other views.

Subscribe to feeds

Lennd offers three ways to subscribe to schedules: calendar, XML, or JSON. This lets you link the schedule to external calendar software (Google Calendar, Microsoft Outlook, Apple Calendar), refresh content on your websites & mobile applications, or create live reports in Excel & Google Sheets.

To set this up, click the subscribe icon (between Group By and Options) and follow the instructions for each feed type.

Note: the data in this feed is affected by your current view. If you save changes to filters, columns or sorting, the output of this feed will be affected.
